Who this policy covers

This policy explains how personal information is handled on the Creative Young Solutions website at cysolutionsinc.com. It applies to information you give us through the website — mainly through the contact form or by emailing the addresses published here — and to the limited technical information that any website necessarily processes when you visit it.

It does not cover websites we link to, or services provided under a separate agreement. If you become a client or join our freelancer network, the agreement for that work will explain any additional processing it involves.

Our approach

We aim to collect only what we need to respond to you, to use it only for that purpose, and to keep it no longer than necessary. The website does not use advertising or analytics cookies, does not build profiles of visitors and does not sell personal information.

In Canada, the handling of personal information in commercial activity is governed by the Personal Information Protection and Electronic Documents Act (PIPEDA). This policy is written to reflect its principles: accountability, identified purposes, consent, limiting collection, limiting use and retention, accuracy, safeguards, openness, individual access and the ability to challenge compliance.

What we collect through the contact form

When you send the contact form, we receive the information you choose to enter. The form asks for:

• your name
• your email address
• the name of your organisation, if you provide it
• the topic of your enquiry, if you provide it
• the message you write
• your confirmation that you have read this policy

What we collect when you email us

If you write to info@cysolutionsinc.com or support@cysolutionsinc.com, we receive your email address, the content of your message, any attachments and the ordinary technical details that accompany an email, such as the date and the sending mail server.

Technical information

Like any website, this one is delivered by servers that receive technical information with each request: your IP address, the page requested, the date and time, your browser type and the address of the page that referred you. This information is processed by our hosting provider to deliver the site, keep it secure and protect it from abuse. We do not use it to identify individual visitors.

The form is protected against automated submissions by a hidden field that people leave empty. It is not a third-party check and it stores nothing in your browser.

Two technical details of the request — your IP address and your browser's user-agent string — are recorded alongside a form submission, and used to detect automated or abusive submissions. They are kept with the message and deleted with it.

Why we use your information

We use the information you send us for the purposes you would reasonably expect:

• to read and reply to your enquiry
• to arrange and hold a consultation you ask for
• to prepare a proposal or project brief if you ask for one
• to consider you for projects if you are a freelancer who has contacted us
• to keep a record of our correspondence
• to protect the website and the form from spam and misuse
• to detect and stop automated or abusive form submissions (the only purpose the IP address and user agent serve)

Consent

By sending the form or an email, you consent to our using the information you provide for the purposes above. We ask you to confirm that you have read this policy before the form is sent. We will not use your information for a new purpose — for example, sending you marketing emails — without asking for your consent first. You can withdraw consent at any time, subject to any legal or contractual restrictions, by contacting us.

Where your information is processed and stored

The website is hosted on Cloudflare's infrastructure. When you send the form, a function running on that same infrastructure forwards the message to an enquiry-handling service operated by the operator of this website, which records it in a database and in a spreadsheet hosted with Google. That service is shared across several sites run by the same operator, so authorised staff of that operation can read the message; it is not shared with anyone outside it.

These providers act on our behalf and may process information on servers outside Canada, including in the United States. When information is processed in another country, it may be accessible to that country's courts, law-enforcement and national-security authorities under its laws. We choose providers that commit to protecting the information they process and use it only to provide their services to us.

Who we share it with

We do not sell or rent personal information. We share it only with the service providers described above, who need it to run the website, the form and our email; with a freelancer in our network if you ask us to involve them in your project and the information is needed for that work; and where we are required to do so by law.

How long we keep it

We keep enquiries and correspondence only for as long as we need them for the purposes described above. If an enquiry does not lead to further work, we delete it once it is no longer needed to follow up. If it leads to a project, the related correspondence is kept for the duration of the relationship and for any period that tax, accounting or other legal obligations require. Technical logs held by our hosting provider are kept according to that provider's retention settings.

How we protect it

The website is served only over encrypted HTTPS connections. The form sends information to our own domain, not to third-party form services. Access to stored enquiries is limited to those who need it in order to respond. No method of transmission or storage is completely secure, but we use reasonable safeguards appropriate to the sensitivity of the information.

Please don't send sensitive information — such as health details, financial account numbers or government identifiers — through the contact form. If a project requires it, we'll agree a more appropriate way to exchange it.

Your rights

You can ask us whether we hold personal information about you, ask to see it, and ask us to correct it if it is inaccurate or incomplete. You can also ask us to delete it where we no longer need it, and withdraw your consent to its use. To make a request, email info@cysolutionsinc.com. We may need to confirm your identity before acting on a request. We will respond within the time limits set by applicable law.

If you are not satisfied with how we have handled your personal information, please tell us first so we can try to resolve it. You also have the right to raise a concern with the Office of the Privacy Commissioner of Canada.

Children

The website is intended for organisations and professionals. It is not directed at children, and we do not knowingly collect personal information from them.

Changes to this policy

We will update this policy when the way the website handles personal information changes — for example, if we add a new service provider. The date at the top of the page shows when it was last revised. Significant changes will be reflected here before they take effect.
